Reporting and Information Management Officer - Location: Taiz - Category: D4 (National staff) - Duration: 10 months - Number of staff: 1 Job Summary: The Reporting & Information Management Officer, will be responsible for supporting project-wide information management, reporting, and documentation across all four sectors. The role will consolidate verified activity, indicator, and beneficiary data received from sector and MEAL teams and support the timely preparation of programme, donor, GMS, and Cluster reports. The Officer will maintain reporting trackers, dashboards, reporting calendars, and organized document repositories; review the consistency and completeness of reported information against supporting records; and coordinate with the Project Manager, sector teams, and MEAL team to follow up on information gaps and reporting requirements. The position will focus on information consolidation, reporting, data presentation, and document control, without duplicating field monitoring, primary data collection, data verification, or routine data-entry functions. Responsibilities: Reporting and Documentation - Consolidate verified activity, indicator, beneficiary, and output data received from sector and MEAL teams for project reporting. - Prepare and support the timely submission of programme, donor, GMS, Cluster, and internal reports. - Maintain reporting calendars and trackers to monitor reporting requirements, deadlines, and submission status. - Compile regular project progress updates, briefings, and reporting inputs. - Maintain an organized repository of project reports, supporting documents, and approved reporting versions. - Ensure consistency between reported results, activities, beneficiary figures, indicators, and available supporting records. Role Boundary - The position is responsible for consolidating and presenting verified programme information and does not replace the MEAL function for primary monitoring, data verification, evaluation or accountability oversight. - The Officer will use only approved and verified datasets and will maintain clear version control and source traceability for all reported figures. - Any unexplained discrepancy between programme data, beneficiary records, indicator tracking systems and supporting evidence must be escalated to the MEAL Officer and Project Manager before inclusion in external reporting. Data Collection and Analysis - Maintain project reporting databases, trackers, dashboards, and information management tools. - Consolidate information from different sectors into standardized reporting formats. - Support the development of tables, charts, dashboards, and other data visualization products for internal and external reporting. - Ensure information is presented in a clear, accurate, and user-friendly format. - Maintain proper version control of reporting documents and information products. Information Management - Coordinate with sector officers and the MEAL team to receive and consolidate verified programme information. - Review submitted information for completeness, consistency, and alignment with agreed reporting formats. - Analyze consolidated programme data and indicators to identify progress, gaps, and reporting inconsistencies. - Follow up with relevant teams on missing, unclear, or inconsistent information required for reporting. - Support the use of standardized reporting templates and data structures across project sectors. Meeting Coordination and Documentation - Attend coordination meetings and document meeting minutes, decisions, and action points. - Ensure accurate and timely distribution of meeting minutes to relevant stakeholders. - Support the coordination and collaboration between different units and partners. - Perform other related duties as required. Qualifications and Experience: - Bachelor's degree in a relevant field (e.g., information management, statistics, social sciences). - Minimum of [3] years of experience in reporting, information management, or data analysis. - Strong analytical skills with the ability to interpret and present data effectively. - Proficiency in data collection, analysis, and visualization tools and software. - Familiarity with reporting standards and guidelines in the humanitarian or development sector. - Excellent written and verbal communication skills, with the ability to prepare clear and concise reports. - Attention to detail and accuracy in data management and documentation. - Strong coordination and organizational skills, with the ability to prioritize tasks and meet deadlines. - Fluency in English and [local language] (both written and spoken).
