Duties and responsibilities - Maintain complete accounting records in line with the organization s Finance Operation Manual. - Review payment claims for compliance with organizational policies, donor requirements, and Yemeni laws and regulations. - Code payments to the appropriate active grant and confirm approval by the relevant budget holder in line with authorization thresholds. - Check that payments to suppliers, contractors and beneficiaries have appropriate supporting documents. - Work with the Head of finance and compliance officer to improve internal controls and the control environment. - Maintain proper separation of duties across financial management tasks. - Participate in Budget vs. Actual review meetings. - Prepare or review bank and cash records, and enter financial data daily. - Review prepayments and accruals each month, including rent and Internet services, and maintain their schedules in QuickBooks. - Coordinate with Human Resource (HR) and the Head of finance to prepare monthly staff salary cost allocations. - Ensure bank reconciliations are completed regularly for every bank account. - File all vouchers in both hard-copy and electronic formats. - Help the Head of finance review balance sheet accounts each month and at the end of each grant. - Maintain monthly asset and liability schedules, reconcile them, and ensure balances agree with QuickBooks. - Handle daily financial matters accurately, systematically and transparently. - Monitor cash and bank balances, coordinate with financial institutions to support cash flow, and protect organizational cash from identified risks. - If institutional banking services are unavailable, arrange an alternative only with prior approval from the relevant program manager or the Head of finance. - Support field office and finance teams during internal, external and donor-specific audits, as well as authorized third-party reviews of financial records. - Work with the program coordinator to understand the financial and compliance requirements of donor-funded projects. - Maintain effective working relationships with organizational partners and support offices to facilitate project financial implementation. - Submit internal and external financial reports on time. - Check official emails daily, respond promptly and appropriately to colleagues and suppliers, and raise problems with the program coordinator as early as possible. - Carry out other related duties assigned by the direct supervisor. Qualifications and requirements - Bachelor s degree in Accounting. - At least 3 years of relevant experience. - Familiarity with computerized accounting software; QuickBooks is preferred. - Advanced Microsoft Excel skills. - Previous experience working with NGOs. - Very good written and spoken English communication and reporting skills. - Strong working knowledge of Microsoft Office, including Word, Excel, PowerPoint and email.
