Job Title: Data Entry Clerk Duty Station: [Taiz] Contract Type: Full-time Duration: [10 Months] ________________________________________ Job Summary: The Data Entry Clerk will support accurate, timely, and systematic entry, updating, and maintenance of project data across Health, Nutrition, Food Security, and WASH activities. The role will verify data completeness and consistency, support data cleaning and correction, maintain organized records, and prepare routine data for review by MEAL and Programme teams. The position will ensure appropriate data disaggregation, confidentiality, data security, and compliance with safeguarding requirements, without duplicating the analytical and reporting responsibilities of MEAL and Reporting/IMS Officers. Key Responsibilities: - Accurately and promptly enter and update data collected from Health, Nutrition, Food Security, and WASH activities into designated databases and platforms such as Kobo and Excel. - Receive, organize, and manage routine data from field teams, ensuring timely entry, completeness, and consistency. - Conduct routine completeness and consistency checks and flag discrepancies to the MEAL Officer. - Maintain the confidentiality, integrity, and security of project and beneficiary data in accordance with established procedures. - Maintain organized digital and physical filing systems and supporting documentation for easy retrieval and reference. - Perform regular data backups and maintain appropriate records to minimize the risk of data loss. - Provide timely feedback to the MEAL/Information Management Officer on data-quality issues, discrepancies, delays, or other challenges. - Maintain records of database updates and corrections to ensure data traceability and support audit requirements. - Prepare routine data extracts, lists, and summaries as requested by authorized MEAL and Programme staff. - Support routine data-quality checks and verification of information received from field teams. - Assist in identifying missing or inconsistent data and follow up with relevant staff for clarification or correction. - Support field teams in applying approved data-collection tools and procedures when required. - Conduct field visits when necessary to support data verification and quality improvement. - Provide basic technical support to field staff on data entry, data-quality requirements, and the use of approved data-collection tools. - Assist in identifying and resolving data-entry or data-collection issues in coordination with the relevant supervisor. - Support the testing and updating of data-collection tools as assigned. - Accurately enter and maintain beneficiary, service-delivery, referral, distribution, monitoring, and facility-level data across the four project sectors. - For Health and Nutrition activities, support accurate entry and maintenance of patient, beneficiary, health assessment, and service-delivery data in accordance with approved procedures. - Ensure required data is appropriately disaggregated by sex, age, disability, and other relevant variables. - Maintain consistency and timely updates across relevant databases and data-collection platforms. - Comply with the organization s Safeguarding Policy, Code of Conduct, and data protection procedures. - Maintain strict confidentiality and secure handling of beneficiary and other sensitive information. - Ensure personal and sensitive data is accessed, stored, and shared only through authorized channels and with authorized personnel. - Report safeguarding concerns or suspected data-protection breaches through established reporting mechanisms. - Respond to authorized requests for routine data and information in coordination with the supervisor. - Support the preparation of routine data tables, lists, and supporting documents for programme and MEAL purposes. - Identify data-management challenges and suggest practical improvements to data-entry and filing processes. - Perform other related duties as assigned by the supervisor or Project Manager. Qualifications and Experience: Educational Requirements: - Bachelor s Degree or Diploma in Information Technology (IT), Computer Science, Data Management, or a related field. Professional Experience: - Minimum of 2 years of relevant experience in data entry, data management, or a similar role. - Previous experience in nutrition projects or working with NGOs/INGOs is preferred. Technical Skills: - Advanced proficiency in MS Excel (formulas, pivot tables, data validation) and database tools such as Access or Kobo. - Excellent typing skills and ability to handle large volumes of data accurately and efficiently. - Familiarity with data analysis tools and techniques, with the ability to interpret data and identify trends. Language Skills: - Native Arabic with good written and spoken English. Soft Skills: - Strong attention to detail and organizational skills, ensuring high levels of data accuracy. - Ability to work under pressure and meet strict reporting deadlines. - Excellent interpersonal and communication skills, with the ability to collaborate with field staff and stakeholders. - Strong problem-solving skills, with the ability to work independently and propose solutions proactively. - Ability to handle sensitive data with confidentiality and professionalism.
